Privacy notice

This notice explains what we do with your information. It is written to be read, not to protect us.

Who we are

HomeSafe Devon is the data controller for the information described here. We are a property and home safety business, not a care provider, so we do not hold medical records. If you have a question about your data, email hello@homesafedevon.co.uk.

What we collect

  • Contact details: name, address, phone number, email.
  • Details about the property and the work: what the house needs, what we quoted, what was done.
  • Information about how someone manages at home, which can include health and disability information.
  • Family contact details, where the customer has asked us to keep the family informed.
  • Payment and invoice records.
  • Basic website information, described in our cookie notice.

Health and disability information

To recommend the right adaptations we sometimes need to record things like reduced mobility, sight or hearing, or a condition that affects how someone uses their home. That is special category data under UK data protection law and we treat it carefully.

We record only what is needed to do the work safely and well, we tell the customer what we have written down, and we do not share it beyond the people who need it to do the job. [Lawful basis for special category processing to be confirmed with a data protection adviser.]

Why we use it

  • To answer your enquiry and arrange a visit.
  • To carry out the assessment, write the plan and deliver the work you have agreed.
  • To keep the family informed, where the customer has asked us to.
  • To keep accounting, safety and warranty records the law requires us to keep.

We do not sell your details to anyone, and we do not pass them to marketing companies.

Who we share it with

Tradespeople and partners doing your work see only what they need: the address, the job and any access arrangements. If a council grant application is involved, we share what you ask us to share with the council. Our accountant and our software suppliers process data on our behalf under contract. Ask us and we will tell you who they are.

How long we keep it

Enquiries that do not lead to work are deleted once we know nothing is going ahead. Customer records including plans and work history are kept for as long as any warranty or safety record needs to be traceable. Accounting records are kept for as long as the law requires.

Your rights

You can ask to see what we hold about you, ask us to correct it, ask us to delete it where we are not required to keep it, object to certain uses, or ask for a copy in a portable form. Email us or use the contact form and we will deal with it. There is no charge and we will reply within one month.

If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office at ico.org.uk. We would rather you told us first, so we can put it right.

Security

Our records are kept on the family portal and on password protected business systems, access is limited to the people who need it, and everyone working for us is briefed on confidentiality before their first job.
